What this notice covers

This notice explains what the Skin, Cosmetic & ENT Care Center website stores about you, why, who can see it, and how to ask the clinic about it. Most pages only show information. Two send what you type to the clinic's server: the booking form, and the status page, which sends your token number and mobile number to look up your booking. The enquiry form on the contact page works differently; see "The enquiry form" below.

What the booking form stores

When you request an appointment, the clinic stores:

  • your name;
  • your mobile number;
  • the department you chose (dermatology or ENT);
  • the day and time you picked, and the doctor whose time it is;
  • the note you typed, if you typed one.

The clinic also stores the token number it gives you, the progress of your booking (for example approved, arrived or cancelled), the time and queue place the clinic gives you, and when the booking was made and last changed. When you tick the consent box, it stores the time you agreed and which version of the consent wording you agreed to. It does not ask for your date of birth, your address or any files.

When a member of staff approves a booking, changes its progress or cancels it, the system records who did it and when. A cancellation may carry a short reason typed by staff. This record never contains your note.

Your note may describe symptoms. Write only what you are comfortable sharing before the consultation.

Why the clinic holds it

To arrange your appointment, to tell you when to come, and to contact you about it. The clinic does not use it for advertising and does not sell it.

Who can see it

Clinic staff and doctors who sign in to the clinic's booking system. Your note is shown only to them.

The screen in the waiting room shows each of the day's bookings with its token number, no more than the first four letters of the first name, the department (Skin or ENT), its place in the queue and its progress, for example Waiting or In consultation. It never shows a mobile number or a note.

To check a booking on the status page, you need both the token number and the mobile number it was made with.

Where it is stored

In a database run by Cloudflare, the company that hosts this website.

WhatsApp messages

The clinic can send booking updates to your mobile number on WhatsApp, which is run by Meta. A message carries your name, your token number, the date and time, and, once the clinic confirms the booking, your place in the queue. A message never carries your note. The clinic keeps a copy of each message with your booking.

How long it is kept

The website does not yet delete bookings automatically. A booking, with your name, number and note, stays in the database until the clinic deletes it. Cancelling a booking does not delete it. You can ask the clinic to delete yours at any time; see "Your rights" below.

Cookies

This website sets no cookies for visitors or patients. When clinic staff and doctors sign in to the booking system, the site sets one cookie that keeps them signed in. It is strictly necessary for the sign-in and does nothing else.

Analytics, error reports and bot checks

This website uses no analytics, visit-counting or error-reporting service, and the booking form uses no bot check from another company.

The enquiry form

The form on the contact page does not send anything to this website's server. When you press its button, your browser puts what you typed (your name, phone number, department and message) into a WhatsApp link and opens it. WhatsApp, which is run by Meta, receives that text when the link opens, before you press send. The clinic receives the message only when you press send in WhatsApp.

The email link beside the form opens your own email application with a blank enquiry layout. It carries nothing you typed into the form.

The map and other links

The map on the contact page comes from Google Maps. It loads only when you press the button to show it. Booking links to Just Dial go to Just Dial, and the WhatsApp link opens WhatsApp. Those services have their own privacy policies and their own data practices, which the clinic does not control.

Medical records

Your medical record is held at the clinic and is governed by professional confidentiality, not by this website. To ask about it, contact the clinic directly.

Your rights

You can ask the clinic to:

  • show you the booking details it holds about you;
  • correct them;
  • delete them.

There is no page on this website that does these for you. Contact the clinic using the details under "Questions and complaints" below, and the clinic's staff will handle your request by hand.

If you no longer want the clinic to hold your details, ask it to cancel your booking and delete them. The clinic cannot keep a booking without your details.

Questions and complaints

The clinic has not yet named a Grievance Officer for personal data. Until it does, questions, requests and complaints about your personal data go to Skin, Cosmetic & ENT Care Center itself:

  • Telephone: 080 2663 1108
  • Post: No. 742, 1st Floor, Bhagyashree, 18th Main Road, 37th F Cross, 4th T Block East, Jayanagar, Bengaluru, Karnataka 560041
